Go Paperless – Save Money and the Planet

I am not a fan of paper, never have been.

For me it has always been computers, and now a lot of people have cottoned onto the fact that lots of paper means money, lost space and environmental impacts.

Busy Lizzie works with a lot of medical consultants, GPs and solicitors and as you can imagine they use a lot of paper, or so I used to think. 6 years ago I worked with a consultant that had just come back from working in the UK. Before I worked with him, I had never seen a paper free medical office. All faxes, letters and communications were scanned onto the patients profile, all dictations was digital and transcribed (letters were printed, but a lot were emailed) and back ups were taken each night. Now setting something like this up does take time and money, but you have to think of the long-term outcomes. There was more room in the suite, to take on more consultants, brining in more money. Printing costs were very low, and the cartridges were also refilled, again saving money and the planet.

Are You a Multi-tasker?

If you’re a multi-tasking parent, you might want to consider this.

Are you really hearing what your child is telling you if you are switching back and forth from listening to him and also cooking dinner and checking your email at the same time?

Our brains are not set up to wholly concentrate on more than one thing at a time. Perhaps instead of “multitasking” you are “switchtasking” (Crenshaw, The Myth of Multitasking).

What to do?

Schedule better so that you are not needing to layer tasks, and set your priorities so at any given moment you are truly concentrating on what’s most important.

Weekend Project! – Spring Clean the Home Office!

Spring is here, and we all want to start going out of doors! But hold on, we need to make sure we’re organised first!

Here’s a few tips to make sure we leave the home/small business office ready for Monday morning.

  1. Declutter! Put the bin close to your desk and shelves and toss the empty cups, pens that don’t work, and other rubbish. Take another container and toss in all the paper you can recycle.  Get rid or put away items that belong somewhere else. Don’t get sidetracked!
  2. No matter how paperless you’ve tried to become, filing is till a necessary burden. Grab a pile and file away.
  3. Wipe down every surface you have now cleaned off with a pleasant smelling cleaner.
  4. NOW when you go outside, don’t forget to pick some pretty flowers to place in a vase on your newly freshened work surface!

TAKE BACK YOUR DESK!

If you’re in a panic because January 1 has already passed, but you’re still digging under fast food containers, folders that contain who knows what, and miles of wires to find the one pen that actually works, calm down. It’s never too late to rid yourself of clutter, organise what’s left, and smile when you walk to your desk every morning. Of course, there are multitudes of how-to’s, hints, and organising websites, books, and articles in magazines. The key, however, is to set up a system that works for you!

An organiseed work space means you’ll be more productive and will spend more time pursuing success.

First, a couple little tasks to get you inspired.

1.       What DON’T you need? You can’t organise clutter and clutter must go. Put a recycling container and a rubbish bag next to your desk and toss (check with your boss first if necessary). You’ll be amazed how little time this will actually take.

2.       Decide what you need on your desk and what can get filed away or given to a colleague.

Now, there are a few simple questions to ask yourself to get your desk and satisfaction back.

1.       What boosts your spirit and catches your eye?

Is it colour, shape, space? Think about paintings or artwork that moves you. Was it the brilliance or subtlety of colour, did you want to reach out and touch a piece, or jump into a scene? Consider these when choosing colour folders, cubes, or hideaway spaces to store essentials.

2.       What is your work flow?

Do you like to tackle piles and move on, carry your files with you, or keep everything on your computer with nothing else around?

3.       Do you like to keep copies of everything (not including the clutter you threw out before!) or once conquered, out of your life it goes?

Do you need a lot of storage space or can you do with just a flat surface?

4.       Once your work is organised, what will make you keep it that way?

A special photo, plant, or child’s artwork? This is not the time to overcrowd your desk with sentimentality, just a token or two.

If nothing else, remember you can’t organise clutter and your workspace must work for you!

TAKE THE FIRST STEPS TOWARDS AN ORGANISED YOU

We all know the first step towards something that seems overwhelming is always the hardest. A new year gives us a fresh beginning, a new opportunity to do things better, finally achieve something for which we haven’t made room before. However, it can be daunting figuring out what it is we want and how to accomplish it.

The secret to taking that first step is creating a good plan. We’re not talking about resolutions here, but realistic goals. A productive, organised, and successful (however, you define it)  New Year is possible if you set up achievable steps towards your goals for yourself, seek help and delegate when needed, and remember, you’re an entrepreneur  — you can do this!

To help get you started, the following are basic objectives that will give you a fresh perspective and strong foundation to tackle the challenges ahead.

1.       Take care of yourself and others that rely on you. Eat right, exercise, and don’t overload your schedule so you find yourself frazzled and impatient. Spend time with family and friends. Reassess your relationships with your employees and colleagues; make sure they know they are appreciated and valued so they are working up to their potential.

2.       Step back – literally and figuratively. Get out of the day-to-day grind and take a fresh look at your priorities, your business, and try to look at your life with a new perspective and ask yourself questions. Do you really need to make changes? Do you need to arrange more time for yourself, friends, or family? Has technology, methods, and markets moved on, but your business hasn’t? Are you taking care of your customers the best you can?

3.       Build a support network. Seek out relationships with people with whom you can share ideas and inspire each other. Networking doesn’t just mean exchanging business cards at conferences. Try walking around and chatting with your employees, call old colleagues and friends, search for new contacts on social media networks.

4.       Make room in your life to achieve your goals. Take a new look at your to-do list and calendar. You probably will be able to move around or even eliminate something to make room for the important things in your life. Try a class that only meets once instead of 6 weeks.

5.       Keep your finances healthy even in thin times. Watch your cash flow and keep excellent records or hire someone else to do it. Good money management can allow you to stay focused on other areas of your life.

6.       Create a plan that is broken down into doable steps. For instance, don’t tell yourself that your entire business office will be clutter free by January 31st. Break these positive goals into steps and set achievable but flexible due dates.  Maybe you can work on one desk or office space for one month and then move on.  Don’t just put decluttering or market research in your diary, get yourself organised prior to the appointment, move to a quiet area, make yourself a drink, get all the resources you need to hand before you start to ensure you are off on the right foot.

7.       See the full picture. If you stick with your step-by-step process and you achieve your goals, where will this lead you? How will this make you happier and more successful? Stay flexible, be easy on yourself, and make adjustments as you go along to make sure you are heading where you want to go. Share your hopes and ideas with family, friends, and employees so they can be on board and help you and your business make those goals reality.

Your healthy mindset is important to having a successful start to the New Year. It’s all about not setting up obstacles that block you before you even begin. Knowing what you really want to achieve, why it’s important, and that you have a plan in place will give you the charge to take the first step into a more organised and prosperous New Year.

Yes, you still need to clean your file drawers, be more attentive to scheduling appointments, return those overdue library books, and take on fewer volunteer obligations, but at least this year you’ll be ready.
